About this Role

The on-site Document Controls Specialist is responsible for providing project support services in the control of Project Documentation, in conformance with the Document Control System Procore and for providing project support services in accordance with the setup and implementation of the Cost and Contract Management System Unifier and other spreadsheet-based reports. The Document Control Specialist will be responsible for managing all project documents in both electronic and hard copy formats, implementing and maintaining document control procedures, and ensuring compliance with company and regulatory standards.

What You'll Do

  • Setup and maintain the Procore document management Systems and tools
  • Review and distribute project documents
  • Prepare/receive Project Document Submittals
  • Provide RFI and Submittal Status Reports to the Project Team for Review and Action
  • Support the Review and Response to client Comments
  • Provide ProCore and document control support to the Site Team as required
  • Manage and maintain all project documents in both electronic and hard copy formats, as required by the project
  • Collaborate in the development, implementation, and maintenance of document control procedures, ensuring compliance with company and regulatory standards
  • Oversee the project closeout process, ensuring all documentation is complete and accurate
  • Collaborate with various departments to ensure document control needs are met
  • Utilize project management software for document management and project tracking, with Procore preferred
  • Ensure proper document distribution via workflow within predefined Key Performance Indicators (KPIs)
  • Ensure all documents meet regulatory compliance standards
  • Conduct audits of documentation processes, and prepare compliance reports as needed
  • Proactively identify and resolve issues related to compliance and accuracy
  • Distribute documents to appropriate stakeholders
  • Performs any other duties assigned
  • Adheres to internal standards, policies, and procedures
  • Lead initiatives to improve document control practices and policies, staying current on best practices and evolving industry standards

What You'll Bring

  • 4+ years of experience in construction or engineering document control. Project closeout experience is preferred
  • Experience with California regulatory agencies is preferred
  • Ability to adapt to meet project needs
  • Experience working with quality documents is preferred
  • Proficiency with Procore or similar document management systems. Strong skills in Microsoft Office Suite (Excel, Word, Adobe Acrobat)
  • Strong organizational skills, attention to detail, and ability to work collaboratively within a project team
  • Excellent written and verbal communication skills
  • Experience supporting power generation or oil and gas facility construction projects  - A plus!
  • Experience with Procore as the Document Management System
  • Experience with other Document Management Systems
  • Experience working with a Project Team
  • Must be capable of performing physical activities such as lifting to 20 pounds at times, bending, standing, walking, lifting, stretching, climbing, and crawling in both on-site and office environments
  • Must be able to work in varying environmental conditions and uneven terrain

Compensation Range

The anticipated compensation for this position is USD $35.00/Hr. - USD $50.00/Hr. depending on experience and qualifications.
